1. Scope
This Privacy Policy applies to the CTS R6 Discord bot, its slash commands, Discord direct messages, account-linking flow, role synchronisation, private match channels and the related features on the CTS website.
“CTS”, “we”, “us” and “our” mean CTS Community Tournaments. Discord remains a separate platform with its own terms and privacy policy.
2. Information We Process

The bot does not collect payment-card details, bank-account details, precise location, microphone recordings or voice-chat content.
3. How Information Is Collected
- From you: when you use commands such as
/link,/checkin,/result,/scheduleor/standings. - From your CTS account: when the bot retrieves your registration, team, match, check-in, result, rating, award or moderation state.
- From Discord: when Discord supplies your user ID, username, display name, avatar and server membership needed to complete a bot interaction.
- Automatically: through delivery logs, error logs, worker heartbeats, role synchronisation and job processing.
4. How We Use Information
- Link and unlink CTS and Discord accounts.
- Show upcoming matches, standings and account-link status.
- Record match check-ins and result submissions.
- Send selected Discord DMs and permitted webhook mentions.
- Assign or remove participant, checked-in and moderation roles.
- Create and clean up private match channels for assigned players.
- Prevent duplicate actions, investigate failures and protect the CTS platform.
- Maintain tournament history, audit records and staff accountability.
We do not sell Discord API data, use it for behavioural advertising or share it with advertisers.
5. Service Providers and Disclosure
Information is processed only where needed to operate CTS. Current service providers include:
- Discord: bot interactions, user identity, server roles, channels, messages and DMs.
- Supabase: CTS accounts, linked Discord IDs, competition data, notification queues and audit records.
- Render: hosting the persistent CTS Discord bot worker.
- Netlify: hosting the public CTS website and these legal pages.
We may also disclose information when required by law, to protect players or CTS, to investigate abuse, or during a service-provider or business transition subject to appropriate safeguards.
These providers may process data outside Australia. By using the bot, you understand that information may be transferred to locations where our service providers operate.
6. Retention and Deletion
We retain linked Discord information only while it is reasonably needed to operate the bot, maintain competition records, meet legal obligations, resolve disputes, prevent abuse or preserve security and audit history.
- Using
/unlinkremoves the active Discord-to-CTS account connection. - Unlinking stops new linked-player DMs and role synchronisation for that account.
- Competition records, results, check-in history and staff audit records may remain where they form part of a legitimate tournament record.
- Technical logs and failed-delivery records are deleted or anonymised when they are no longer operationally or legally required.
/unlink, contact CTS through the website. We may need to verify that you control the relevant CTS and Discord accounts before acting.7. Security
CTS uses access controls, service-role separation, restricted bot permissions, private credentials, audit logging and encrypted provider connections to protect information. Bot tokens and database service keys are not exposed through the public website.
No online system can guarantee absolute security. If we become aware of a data incident, we will investigate it and provide notices where required by applicable law.
8. Your Choices and Rights
- Use
/cts-statusto review whether your Discord account is linked. - Use
/unlinkto remove the active link. - Manage permitted Discord notification routes through CTS where those controls are available.
- Disable DMs from the bot through Discord, noting that important CTS updates may then be unavailable there.
- Request access, correction or deletion of your personal information through the CTS contact page.
- Contact the Office of the Australian Information Commissioner if you believe a privacy concern has not been resolved appropriately.
Some rights vary by jurisdiction. We may retain limited information where necessary for legal obligations, fraud prevention, dispute resolution or tournament integrity.
9. Age Requirements
The bot is not intended for anyone below Discord’s minimum permitted age. Individual CTS events may apply a higher minimum age, which will be shown in the relevant event rules.
If you believe a person below the applicable minimum age has provided personal information through CTS, contact us so we can investigate and take appropriate action.
10. Changes to This Policy
We may update this policy when the bot’s functions, providers, data practices or legal requirements change. The effective date at the top will be updated, and material changes may also be announced through CTS or Discord.
11. Contact CTS
For privacy questions, data access, correction or deletion requests, use the private CTS contact page. Include enough information for us to identify the relevant CTS account, but do not submit passwords, bot tokens, service-role keys or payment details.
